We generally collect personal information directly from you; when you respond to an invitation; when you create or use a contributor account; when you record or submit a contribution; during an interview; when you review a transcript or other material; when you communicate with us; automatically through the operation and security of our websites and digital services; from publicly available professional sources; or from another person or organisation that recommends or introduces you.
Where practical, we will collect personal information directly from you.
5. Why we collect and use personal information
We collect, use and hold personal information where reasonably necessary for Rezolva's activities.
5.1 Contributor selection and administration
We may use information to identify and assess potential contributors; send and manage invitations; verify professional identity, experience and credentials; match contributors with relevant questions or subject areas; communicate about participation; organise interviews or recording; administer contributor accounts; maintain contributor records; and respond to contributor questions and requests.
5.2 Recording and preserving professional contributions
We may use contributor information to record video, audio or written contributions; create transcripts; edit material for length, clarity, format and presentation; preserve original recordings and associated records; classify and organise material; identify topics, themes and relevant extracts; maintain appropriate attribution and contextual information; and create a structured archive of professional perspectives.
Rezolva will not intentionally edit an attributed contribution in a way that materially misrepresents the contributor's expressed views.
5.3 Publishing and professional resources
Subject to the applicable contributor permissions, contributions may be used in connection with books and e-books, including Judgment in the Room; video and audio extracts; transcripts and quotations; articles and professional publications; podcasts and audio programmes; professional education and learning resources; presentations, seminars and events; websites and digital platforms; professional resources; promotional material relating to Rezolva, its contributors or its projects; and other Rezolva products or services reasonably connected with sharing, preserving or providing access to dispute-resolution knowledge.
Rezolva is a commercial venture. Some resources may be provided without charge and others may form part of revenue-generating products or services.
Any entitlement to payment, royalty or other compensation is governed by the applicable Contributor Agreement or other written agreement with the contributor.
5.4 Research, organisation and development
We may use contributed material and associated information to identify themes and professional perspectives; understand areas of agreement and disagreement; improve the organisation and accessibility of the archive; develop and test professional resources; improve search and discovery functions; understand how users engage with Rezolva material; and develop services reasonably connected with Rezolva's professional-knowledge purposes.
5.5 Operating and protecting Rezolva
We may also use personal information to operate and improve our websites and services; maintain security; prevent misuse, fraud or unauthorised access; troubleshoot technical issues; maintain business and administrative records; protect Rezolva's legal rights; respond to disputes or complaints; and comply with applicable law, court orders and lawful regulatory requirements.
6. AI-assisted processing
Rezolva may use artificial intelligence and other automated technologies to assist with the processing and organisation of contributor material.
These technologies may be used to transcribe audio or video into text; identify topics, themes and keywords; index and categorise contributions; identify potentially relevant extracts; make contributed insights searchable; prepare summaries of expressed views; compare expressed perspectives across contributors; assist users to locate relevant attributable professional perspectives; and support editorial, research and content-management workflows.
AI-assisted outputs may contain errors or fail to capture nuance. Rezolva therefore seeks to retain an appropriate connection between derived material and the underlying source contribution.
What Rezolva will not do without separate permission
Unless separately agreed with the contributor, Rezolva will not:
- create a synthetic or cloned version of a contributor's voice;
- create a synthetic version of a contributor's face or likeness;
- fabricate statements and attribute them to a contributor;
- create AI-generated video purporting to depict a contributor saying or doing something they did not say or do; or
- use a contribution to create a proprietary AI model designed to impersonate the contributor, generate new statements in their voice or represent predicted views as though expressed by that contributor.
Where Rezolva publishes a contributor's views, Rezolva will seek to preserve appropriate attribution, provenance and context.
7. Disclosure of personal information
We may disclose personal information where reasonably necessary for the purposes described in this Policy.
Recipients may include service providers for website and application hosting, cloud infrastructure and storage, authentication, database services, video and audio processing, transcription, artificial-intelligence services, email and communications, analytics, cybersecurity, professional advice and other technology or operational services.
We seek to use reputable providers and to apply appropriate contractual, technical or organisational safeguards having regard to the nature of the information and the service provided.
Subject to contributor permissions, information and contributed material may also be disclosed to or made available through book publishers, publication and distribution services, educational organisations, professional associations, conference or event organisations, media or content-distribution platforms and organisations involved in producing or distributing authorised Rezolva material.
Information may be disclosed to Rezolva's lawyers, accountants, insurers, consultants or other professional advisers where reasonably necessary, or where required or authorised by law to courts, tribunals, regulators, government agencies or law-enforcement authorities.
If Rezolva is involved in a proposed investment, financing, restructuring, sale, merger, acquisition or transfer of all or part of its business or assets, relevant information may be disclosed to prospective investors, purchasers and their professional advisers subject to appropriate confidentiality and legal safeguards.
Where a contributor has authorised publication, some information is intended to become public. This may include name, professional title, organisation or affiliation, biography, credentials, image, video or audio, transcript, quotations and other authorised contribution material.
Once information is lawfully published, third parties may view, quote, link to, archive or otherwise interact with it in ways that may be outside Rezolva's direct control.
8. Overseas processing and disclosure
Rezolva is intended to operate internationally. Contributors, users, service providers, publishers and other recipients may therefore be located outside Australia.
Personal information may be processed, stored or disclosed outside Australia where reasonably necessary for Rezolva's operations.
Countries in which recipients may be located include, depending on the services and activities involved, the United States, the United Kingdom, Singapore, countries within the European Economic Area and other countries in which contributors, publishers, service providers or authorised distribution partners are located.
The precise locations may change as Rezolva's service providers and international activities develop.
Where Australian Privacy Principle 8 applies to an overseas disclosure, Rezolva will take such steps as are reasonable in the circumstances to address the protection of the information, subject to applicable exceptions.
Additional international data-transfer requirements may apply where an individual is protected by privacy legislation in another jurisdiction.
9. Contributor review, corrections and attribution
Rezolva's contributor process is designed to preserve the integrity and context of professional contributions.
The applicable Contributor Agreement may provide contributors with an opportunity to review a transcript, summary or other representation of their contribution and to raise issues including transcription errors, confidential information inadvertently disclosed, material factual errors, material misrepresentation of their views, or other serious professional, ethical or legal concerns.
Detailed review periods and procedures are governed by the applicable Contributor Agreement.
Where substantive professional views are attributed to a contributor, Rezolva seeks to maintain appropriate attribution and source provenance.
10. Confidential and third-party information
Contributors should not disclose information that they are legally or professionally required to keep confidential.
This includes, where applicable, confidential party or client information; privileged material; confidential settlement information; identifying information from private proceedings; information subject to suppression or non-publication obligations; and third-party personal information that the contributor is not entitled to disclose.
If you believe confidential or protected information has inadvertently been included in a contribution, contact Rezolva promptly at sam.lawson@rezolva.org.
Rezolva will consider appropriate steps having regard to the Contributor Agreement, applicable law and the circumstances.
11. Direct marketing and communications
Rezolva may contact contributors and prospective contributors about their invitation or participation; contribution administration; recording or interview arrangements; transcript or content review; publication or use of their contribution; changes affecting their contributor relationship; and relevant Rezolva projects or opportunities.
Operational and contributor-administration communications are not marketing communications.
Where required by law, Rezolva will obtain any necessary consent before sending direct marketing communications.
You may ask us to stop sending optional promotional communications by using any unsubscribe facility provided or by contacting sam.lawson@rezolva.org.
We will not sell personal contact details to unrelated third parties for their own direct-marketing purposes.
12. Cookies and similar technologies
Rezolva's websites and digital services may use cookies and similar technologies where necessary to provide website functionality, maintain security, support authentication, remember user preferences, understand website performance, diagnose technical problems and understand how users interact with the service.
Some technologies may be provided by third-party service providers.
You can usually control cookies through your browser settings. Disabling certain cookies may affect the operation of website or account features.
If Rezolva introduces non-essential analytics, advertising or similar technologies that require additional notice or consent under applicable law, appropriate controls will be implemented.
13. Data security
Rezolva takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.
Measures may include, as appropriate, encrypted communications; secure hosting and storage; access controls; authentication controls; limiting access according to operational need; backups; security monitoring; appropriate contractual arrangements with service providers; secure handling of recordings and contributor material; and incident-management procedures.
No method of electronic transmission or storage is completely secure. Rezolva therefore cannot guarantee absolute security.
If Rezolva becomes aware of a suspected data breach, we will assess and respond to it in accordance with applicable law, including the Australian Notifiable Data Breaches scheme where it applies.
14. Retention of information
Rezolva retains personal information for as long as reasonably necessary for the purposes for which it was collected, for legitimate business and archival purposes, or as required or permitted by law.
Different retention periods may apply to different categories of information.
Because a central purpose of Rezolva is to create an enduring record of professional knowledge, authorised recordings, transcripts, contributor attribution, professional biographies, published extracts, provenance information and associated editorial records may be retained for an extended period, including while the contribution remains part of Rezolva's archive, publications, professional resources or authorised derivative material.
Account, technical, security and administrative information may be retained for so long as reasonably required for operational, legal, security or record-keeping purposes.
Where personal information is no longer reasonably required and Rezolva is not required or entitled to retain it, we will take reasonable steps to delete or de-identify it.
Deletion may not be possible where information has already been lawfully published; appears in printed material; is held in backups pending routine deletion; is held by a third party outside Rezolva's control; must be retained for legal, regulatory or dispute-resolution purposes; or has been irreversibly de-identified.
15. Access to and correction of personal information
You may request access to personal information Rezolva holds about you.
You may also ask us to correct information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading.
Requests should be sent to sam.lawson@rezolva.org.
Please include sufficient information to allow us to identify you and understand your request. We may need to verify your identity before providing access or making a correction.
We will respond within a reasonable period and in accordance with applicable law.
There may be circumstances in which access or correction can lawfully be refused. If so, we will explain the basis for that decision where required.
16. Withdrawal and requests concerning contributor material
A contributor may have rights under the applicable Contributor Agreement to withdraw consent or request that Rezolva cease specified future uses of their personal information or contribution.
Requests should be sent to sam.lawson@rezolva.org.
The consequences of withdrawal depend on the relevant Contributor Agreement, the nature of the material, whether it has already been published and applicable law.
Where withdrawal is effective under the applicable agreement, Rezolva may cease specified future processing or publication and use reasonable efforts to address material within its control.
Withdrawal generally cannot retrospectively undo lawful processing that occurred before withdrawal; copies already distributed in printed publications; independent third-party archives; quotations or material already lawfully published and subsequently reproduced by others; or information Rezolva is required or permitted by law to retain.
Nothing in this section limits any statutory privacy rights that apply to an individual.
17. International users
Rezolva is based in Australia but invites participation internationally.
Depending on where you are located, local privacy or data-protection laws may give you rights in addition to those described in this Policy.
These may include rights concerning access, correction or rectification, deletion or erasure, restriction of processing, objection, data portability, withdrawal of consent and complaints to a relevant privacy or data-protection authority.
Such rights are subject to the particular law, its territorial application and any applicable exceptions.
You may contact Rezolva at sam.lawson@rezolva.org if you wish to exercise a privacy right that you believe applies to you.
18. Children
Rezolva is a professional resource intended for adult practitioners and users.
Rezolva does not knowingly invite children under 18 to contribute to the project or knowingly seek to collect personal information from children through its contributor programme.
If you believe Rezolva has inadvertently collected personal information relating to a child, contact sam.lawson@rezolva.org. We will assess the circumstances and take appropriate action.

20. Third-party websites and services
Rezolva websites or communications may contain links to third-party websites, platforms or services.
